You might have heard of hybrid mail without being sure what it is or how it works. Here we’ll take a look at what hybrid mail is, how it works, and why it has become an increasingly popular solution for businesses looking to streamline their outbound communications.
What Is Hybrid Mail?
Hybrid mail is a digital-to-physical mail service that allows businesses to create documents digitally while outsourcing the printing, enclosing and posting to a specialist provider. You can view it as a bridge between efficient digital workflows and traditional postal communication.
Many businesses and other organisations will be overly familiar with office workers spending valuable hours printing letters, folding documents, stuffing envelopes before heading off to queue at the post office in person. Handling outgoing mail can be a time- and resource-heavy process, but hybrid mail can easily streamline the entire process.
How Does Hybrid Mail Work?
The hybrid mail service follows a number of distinct steps. PSC Systems’ typical hybrid mail workflow will involve:
- Install the hybrid mail print driver. Also known as the client driver, this virtual driver can be installed on a computer or other device of your choice. Instead of sending a document to an office printer, this virtual driver converts it into a secure file and transfers it to the hybrid mail provider.
- Create a document. You can use all the familiar software and formats you usually do, such as Word, PDF, Excel etc.
- Select mailing preferences. A dialogue box and drop-down menu will allow you to pick between a variety of print and mailing options.
- Securely send the file. The file will be securely transferred from the client driver to PSC Systems.
- Print and send the documents. PSC will print, handle, enclose and post the documents to your specifications.
The whole process is end-to-end secure and businesses can continue working as normal while PSC manages their physical mailing process.
What Can You Send Using Hybrid Mail?
Hybrid mail is incredibly versatile and you can remotely print and send documents in all major digital formats, such as PDF and Word files.
Some common examples could include:
- Customer letters
- Invoices
- Statements
- Appointment reminders
- Policy updates
- Marketing campaigns
- Compliance notices
- Utility communications
- Membership correspondence
Both ad hoc and recurring mailings can be managed through the system, making it suitable for one-off communications and regular mailouts. It can also handle small consignments and larger bulk volumes of mail.
What Are the Benefits of Hybrid Mail?
One of the biggest perks of using hybrid mail is that it frees up time for your in-house staff to spend on other things. By outsourcing all those tedious and time-consuming mail-outs, you can free up your staff to focus on what really matters.
Having a trusted partner for your hybrid mail should keep things running better, get rid of all the paperwork and hassle, and often even help you save some money on printing and postage. Plus, one less printer to keep track of means you won’t have to worry about maintenance and constantly restocking toner and ink supplies.
Hybrid mail is a pretty handy solution that can just fit right in with whatever size and kind of business you are. Even if you’re a team that works all over the place. It scales up or down to suit you, no matter if you’re a brand new startup or a long-standing and well-established business.
Is Hybrid Mail Secure?
Security is one of those things that worries people and rightly so. You don’t want sensitive information getting into the wrong hands. But actually, hybrid mail can be more secure than handling things in-house.
Companies that send invoices, financial documents and other sensitive information can really benefit from extra security and knowing where their documents are at any given time. PSC’s hybrid mail solution includes tracking right from a driver’s print command – giving you a clear picture of what’s going on with your mail.
Benefits of extra security when sending out hybrid mail include
- Securely sending out those sensitive documents
- Working in a controlled environment
- A clear paper trail
- Much less handling of confidential info
- Reliable delivery that you can trust
Which Businesses Benefit Most from Hybrid Mail?
Almost every type of business could potentially benefit from hybrid mail. Organisations that only send a handful of letters each week can save on the necessity of expensive but underused printers while those with regular high volume mail runs can save staff time and enjoy the advantages of the documents being professionally printed and handled in bulk.
That said, some organisations that might particularly benefit from hybrid mail could include:
- Accountants
- Solicitors
- Healthcare providers
- Housing associations
- Utility companies
- Local authorities
- Insurance companies
- Financial services
- SMEs with regular customer communications
